The Secret to PRODUCTIVITY is Revealed!

Have you ever felt like you had a ton of tasks in front of you and not nearly enough time to get them all done? Have you ever wondered how your colleagues manage their daily tasks? If you haven’t guessed it by now “Spoiler Alert,” I’m talking about being PRODUCTIVE at work.

What does being productive mean to you? Do you view productivity as successfully completing tasks before their deadline? Perhaps, your definition of being productive simply means you work efficiently. Dictionary.com defines productivity as:

“OUT OF THE OFFICE”

When a project is near its due date and you want to limit visual distractions on your computer monitor, like email or message notifications try this: Send a memo to your team and respectfully inform them that you will be activating the “Out of Office” feature for a few hours. If an emergency arises you can be made accessible via telephone.

TO – DO – LIST

As a task is completed another appears in its place, how do you keep track of it all? Create a To-Do-List! Your list doesn’t need to be extravagant. Simply leaving a sticky note of current assignments on your keyboard or computer monitor will suffice. Working from home? Send yourself emails with “To-Do’s” in the subject line and a bulleted list in the body for completed projects and items that still need your attention.

Do you use a white board or a wall calendar to keep yourself organized at work? If so, have you tried color coding your tasks and due dates with sticky notes or erasable markers? If you have not tried color coding your tasks, you’re missing out! Try these simple steps when color coding your tasks:

  1. Select sticky notes or markers (your preference)
  2. Restrict yourself to the 7 primary colors of the rainbow (ROYGBIV)
  3. Assign each color a weight of importance or timeliness of completion similar to how Triage units do for degrees of urgency
  4. Enjoy the feeling of maximizing your productivity at work!

SET BOUNDARIES 

As a function of your job you may take on a support role for various departments, colleagues and leadership alike. Have you set clear guidelines for them? Do they know what to expect when they put in a request? If not, there’s no time better than the present to set clear but flexible guidelines for your internal & external interactions. 

Every time you communicate with a client, customer or colleague be clear on what they should expect from your interaction. Establish what they can expect per request–i.e. feasible due dates and your ability to fulfill the request alone or if the tasks require collaboration with other individuals. Setting these boundaries and establishing clear parameters on your interaction will not only maximize your productivity at work, it will also allow you to build better work based relationships.
